Policy overview

PrintBarn.ca produces made-to-order products. Each decorated item is created specifically for the customer using the selected product, brand, size, garment colour, artwork, decoration method, and written order instructions.

Because custom products are made specifically for each customer and usually cannot be resold, returns and refunds are accepted only when there is a confirmed production fault, damage on arrival, wrong item, wrong decoration method, or another issue caused by PrintBarn.

Important: Online previews, Designer mockups, product photos, manufacturer images, colour charts, thread previews, print previews, and screen colours are visual references only. They do not guarantee exact final size, placement, colour, texture, fit, fabric feel, or physical appearance.
Custom-made items 7-day issue report 14-day return start ±1 inch decoration sizing ±1 inch decoration placement Up to 10% colour variance Delivery dates are estimates unless confirmed

This policy does not limit any rights that may apply under applicable consumer protection laws. Each claim is reviewed fairly based on the order record, written instructions, production evidence, and the tolerances listed on this page.

Customer responsibility before production

Customers are responsible for reviewing the selected product, brand, size, garment colour, artwork, spelling, print or embroidery location, decoration method, delivery needs, and any special requirements before placing an order.

  • If you need a specific decoration size, provide the exact width or height in inches.
  • If you need a specific placement, provide exact instructions such as distance from neckline, seam, pocket, sleeve edge, centre line, cuff, collar, or other physical reference point.
  • If you need a specific colour, provide a Pantone, thread colour code, thread colour name, CMYK value, RGB value, brand guideline, or other clear colour reference before production.
  • If you need a specific delivery date, event date, pickup date, or ship date, you must tell us before production and receive written confirmation from PrintBarn.
  • If you are unsure about sizing, placement, colour, decoration method, product fit, fabric feel, artwork quality, or delivery timing, contact us before production begins.
  • Special requests must be written in the order notes, sent by email, or confirmed through live chat before production starts.
If no exact written instructions are provided, PrintBarn will use professional judgment and standard production practice to choose suitable size, placement, scaling, thread matching, print settings, decoration positioning, and production method. These professional decisions are not defects when the final product is produced within our stated tolerances.

Online Designer preview, mockups and proofs

The preview shown in our online Designer is a general visual guide only. It is not an actual product photograph, not a physical sample, not a production proof, not a scale guarantee, not a colour guarantee, not a placement guarantee, and not a final approval proof.

Online customization technology cannot perfectly simulate the exact final appearance of every decoration on every product, colour, brand, size, fabric type, cut, seam, fold, pocket, sleeve, cap panel, bag panel, jacket panel, or garment shape. Product images, garment angles, size charts, fabric drape, seams, decoration areas, and manufacturing details vary between products and suppliers.

  • The same artwork may appear visually larger or smaller on different product sizes.
  • The same artwork may appear different on XS, Small, Medium, Large, XL, 2XL, 3XL, youth, toddler, or tall sizes.
  • The same placement may look different on different garment styles, cuts, seams, panels, pockets, zippers, collars, sleeves, hoods, cap panels, bags, towels, aprons, jackets, and fabric shapes.
  • The Designer uses a standard preview system across thousands of products, colours, sizes, brands, and decoration locations.
  • The Designer preview may not show exact print scale, embroidery scale, thread texture, ink texture, fabric texture, seams, curves, garment drape, product thickness, cap curvature, bag shape, sleeve rotation, or real-life proportions.
  • Mockups are visual guides only and should not be treated as exact final production output.
  • Viewing the Designer on a phone, tablet, laptop, desktop, or different screen size can change how the design appears.
  • Zoom level, screen brightness, browser settings, colour calibration, and device settings can change the customer’s visual expectation.
Orders are not eligible for refund, return, or remake based only on the online Designer preview, product mockup, product photo, or screen preview appearing different from the final physical product, as long as the order was produced within our stated tolerances and no exact written instructions were provided before production.

Production proof

A production proof is only valid when it is specifically prepared by PrintBarn and sent to the customer for approval. The online Designer preview does not replace a written production proof unless PrintBarn clearly states otherwise in writing.

If your order is sensitive for brand standards, exact logo size, exact placement, exact thread colour, exact print colour, exact product colour, or exact production appearance, please request a written proof or pre-production sample before full production.

Professional production adjustment

PrintBarn may slightly enlarge, reduce, reposition, or adjust the decoration size and placement when needed to achieve the best possible result for the selected product, size, fabric, decoration method, and artwork.

This may include adjusting a print or embroidery design so it fits better within the decoration area, avoids seams, pockets, zippers, collars, buttons, curves, cap panels, sleeve edges, folds, thick seams, garment panels, fabric texture, or technical production limits.

  • We may slightly enlarge artwork that would otherwise look too small, lose detail, or become unreadable.
  • We may slightly reduce artwork that would otherwise be too large for the decoration area or unsuitable for the product.
  • We may reposition artwork to follow standard production placement for left chest, centre chest, full front, back, sleeve, cap, bag, apron, towel, hoodie, jacket, or other decoration locations.
  • We may adjust placement to avoid pockets, seams, collars, zippers, hoods, buttons, panels, heavy fabric areas, or decoration limitations.
  • We may simplify, thicken, adjust, or recommend changes to artwork when the selected decoration method cannot reproduce very fine details, tiny text, gradients, shadows, glow effects, or thin lines exactly.
If no exact written size, colour, ratio, or placement instruction is provided before production, PrintBarn will use standard production practice and professional judgment to create the best final result. These professional adjustments are not considered defects when the final product is produced within our stated tolerances.

If you require exact decoration size, exact placement, exact colour, exact thread colour, exact print colour, exact logo ratio, exact artwork position, or a specific visual result, you must contact PrintBarn before production begins. You can add instructions in the order notes, email us, or contact us through live chat.

Exact size, colour and placement requests

If you require an exact result, you must contact us before production begins. Exact requirements cannot be assumed from the online Designer preview, product image, mockup, artwork file, previous order, verbal assumption, or personal expectation.

Examples of clear instructions

  • “Front logo must be 10 inches wide.”
  • “Left chest logo must be 4 inches wide.”
  • “Design must be centred 3 inches below the neckline.”
  • “Sleeve print must be 2 inches above the cuff.”
  • “Back print must start 5 inches below the collar.”
  • “Use thread colour code/name ____ if available.”
  • “Use Pantone ____ as the closest colour reference.”
  • “Please contact me before production if the exact colour is not available.”
  • “This order must be ready by ____; please confirm before production.”

How to send exact requests

  • Add your request in the order notes during checkout.
  • Email us immediately after placing your order.
  • Contact us through live chat before production starts.
  • Request a written proof if the final appearance is critical.
  • Request a sample if exact colour, size, placement, fit, fabric feel, or decoration result is essential.
  • For repeat orders, provide the previous order number and confirm the product, size, decoration method, artwork, and measurements you want repeated.
If no exact measurement, colour reference, delivery requirement, or placement instruction is provided and confirmed before production, PrintBarn will produce the order using standard production practice and professional judgment.

Products, brands, sizes and fit

Different products, brands, cuts, sizes, materials, colours, and styles can fit and feel differently. A Medium in one brand may not fit the same as a Medium in another brand. A unisex product may not fit like a women’s cut. A tall size, youth size, toddler size, relaxed fit, slim fit, classic fit, or oversized style may not fit like the customer’s usual size.

Product and brand expectations

  • Product fit, fabric feel, thickness, softness, weight, stretch, collar shape, sleeve length, body length, pocket size, zipper feel, and garment structure vary by brand and style.
  • Brand colour names such as black, navy, royal, red, sport grey, ash, charcoal, graphite, heather grey, white, or natural may vary between manufacturers.
  • Product categories such as t-shirts, hoodies, polos, jackets, vests, aprons, scrubs, hi-vis, towels, blankets, hats, bags, and beanies all have different decoration areas and fit characteristics.
  • Manufacturer size charts and product descriptions should be reviewed before ordering.
  • Customers should not assume that their usual size will fit the same across every brand, product, or style.

Not considered defects

  • “It fits tighter/looser than I expected.”
  • “It is longer/shorter than I imagined.”
  • “The fabric is thinner/thicker than I expected.”
  • “The product does not fit like the model photo.”
  • “This Medium fits differently than another brand’s Medium.”
  • “I thought this was oversized, fitted, heavier, softer, premium, workwear, waterproof, windproof, reflective, or safety-certified.”
  • “The product feels different than I imagined from the photo.”

Garment fit depends on each person’s body shape, garment cut, fabric type, product category, and manufacturer sizing. Fit expectations are not considered product defects when the ordered size and product were supplied correctly and within manufacturer tolerance.

Product photos, garment colours and screen appearance

Product photos shown on our website are usually supplied by the product manufacturer or supplier. These photos are provided to help customers identify product style, shape, and general colour family. They are not a guarantee that the physical product colour, fabric texture, fit, or appearance will look exactly the same on every screen or in every lighting condition.

  • Screen brightness, contrast, colour settings, device type, browser settings, monitor calibration, and lighting can change how colours appear.
  • Manufacturer photos may be taken under studio lighting and may not look identical in natural light, office light, indoor light, outdoor light, or customer photography.
  • Fabric texture, dye lots, material composition, heathering, garment finish, ribbing, fleece texture, mesh, canvas, towel pile, and surface texture can affect the perceived colour.
  • Different brands may use the same colour name but the actual shade can vary.
  • Repeat orders may have slight colour, fabric, fit, or shade differences due to supplier batches, dye lots, manufacturer updates, or stock changes.
  • Product photos may not show every seam, pocket, zipper, button, collar, panel, fold, tag, texture, thickness, or decoration limitation.
A return, refund, or remake will not be approved only because the product colour, fabric feel, fit, shade, or appearance looked different on the customer’s computer, phone, tablet, or monitor, unless the wrong product or wrong confirmed garment colour was shipped by PrintBarn.

Production tolerances

Custom decoration is a hands-on production process. Small differences can occur due to product type, size, fabric, seams, garment shape, heat, pressure, hooping, stitching, ink, transfer, curing, equipment setup, thread direction, fabric texture, and decoration method.

Decoration size
Embroidery, Color Print (DTF), and screen print decoration size may vary by up to ±1 inch.
Decoration placement
Embroidery, Color Print (DTF), and screen print placement may vary by up to ±1 inch.
Colour variance
Up to 10% colour difference between digital previews, screens, product photos, thread previews, print previews, colour charts, and physical output is considered normal.
Garment sizing
Garment sizing follows the brand/manufacturer size chart and normal manufacturing variance.
Artwork quality
Low-resolution, pixelated, blurry, stretched, compressed, or incorrect customer-supplied artwork will print or stitch based on the supplied file quality.
Delivery timing
Production and delivery dates are estimates unless PrintBarn confirms a specific deadline in writing.
Minor differences within these tolerances are not considered faults and are not eligible for refund, remake, or return.

Artwork, files, text and design responsibility

Customers are responsible for uploading the correct artwork and reviewing all names, numbers, spelling, dates, websites, phone numbers, QR codes, layout, colours, transparent backgrounds, and design details before production.

Customer-supplied file issues

  • Low-resolution, blurry, pixelated, compressed, or screenshot-based artwork may print or stitch with visible quality issues.
  • Artwork from social media, messaging apps, screenshots, low-quality JPGs, or improperly exported Canva files may not produce professional results.
  • Transparent backgrounds must be supplied correctly. If a file contains a white, black, coloured, or unwanted background, it may appear in the final decoration.
  • Very small text, tiny details, thin lines, QR codes, barcodes, trademark marks, registered marks, icons, special characters, emojis, and fine outlines may not reproduce clearly.
  • Gradient, shadow, glow, metallic, glitter, neon, reflective, puff, 3D, or photo effects may not be achievable unless the correct decoration method is selected and confirmed.

Text, spelling and approval issues

  • Names, numbers, dates, team rosters, websites, phone numbers, email addresses, and spelling must be reviewed by the customer before production.
  • Uppercase/lowercase choices, font style, letter spacing, line spacing, alignment, and special characters should be reviewed carefully.
  • If a proof is sent and approved, errors visible in the approved proof are the customer’s responsibility unless PrintBarn changed something after approval.
  • If no artwork cleanup, redraw, vectorization, digitizing adjustment, or design support is requested and confirmed before production, customer-supplied artwork will be produced as submitted or professionally adjusted within the selected decoration method.
Refunds, returns, or remakes are not approved for errors or quality issues caused by customer-supplied artwork, incorrect files, low-resolution files, missing transparent backgrounds, spelling mistakes, incorrect names or numbers, or details that were not reviewed before production.

Embroidery policy

Digitizing and setup

  • Embroidery requires converting artwork into a stitch-ready embroidery file.
  • Digitizing is a production interpretation of the artwork, not a direct print of the image.
  • Small details, gradients, shadows, glow effects, thin lines, tiny text, photo effects, and very detailed logos may need to be simplified for embroidery.
  • Revisions after stitch preview or approval may incur additional fees.
  • Letters below 4 mm may lose legibility due to stitch density, thread thickness, and fabric texture.
  • Embroidery may slightly pull, press, pucker, or texture the fabric depending on garment type, stitch density, stabilizer, and material.

Embroidery sizing and placement

  • Embroidery sizing tolerance is ±1 inch.
  • Embroidery placement tolerance is ±1 inch for chest, sleeve, cap, bag, apron, towel, jacket, and other positions.
  • If no exact size is provided, our team may resize the design so it fits the product and looks suitable for embroidery.
  • If no exact placement is provided, we use industry-standard placement for that product type.
  • Comments such as “a little bigger”, “a little smaller”, “slightly left”, “slightly right”, “a bit higher”, or “a bit lower” are not valid return reasons when within tolerance.

Embroidery thread colours

Embroidery thread is a physical material with sheen, texture, thickness, and light reflection. Thread colours may look different on screen compared to real life because computer screens and phone screens display colour using light, while embroidery thread is viewed as a physical material.

  • Thread colours may be automatically matched by the system or selected by our team as the closest available thread colour based on the uploaded artwork.
  • Automatic thread matching is an approximation and does not guarantee an exact match to the logo file, screen preview, Pantone colour, product mockup, or brand colour.
  • Thread names and thread colour codes, when shown, are provided as references only.
  • Customers may review thread colour names and codes online from multiple sources, but online colour previews can still vary between screens.
  • Customers may also visit our office to review available thread colours in person when colour accuracy is important.
  • If an exact or very close thread colour is required, the customer must contact us before production begins.
  • If the requested thread colour is not available, we will use the closest available thread unless the customer requests otherwise before production.
Embroidery thread colour differences caused by screen display, automatic colour matching, thread sheen, fabric colour, lighting, thread direction, material texture, or available thread selection are not considered defects unless the wrong confirmed thread colour was used by PrintBarn.

3D puff embroidery

  • 3D puff embroidery is available only on suitable designs and products.
  • Small edge trims, foam compression marks, minor texture differences, and small foam traces can remain after production and are considered normal.
  • Very small details, tiny text, thin lines, and complex shapes may not be suitable for 3D puff embroidery.

Pre-production stitch sample

  • A paid pre-production stitch sample is recommended for critical logos, exact branding, colour-sensitive designs, and very detailed artwork.

Color Print (DTF) policy

Color Print sizing and placement

  • Color Print (DTF) sizing tolerance is ±1 inch.
  • Color Print (DTF) placement tolerance is ±1 inch for front, back, chest, sleeve, tag, bag, hoodie, jacket, apron, and other print locations.
  • If no exact print size is provided, we scale the artwork to best fit the garment, artwork shape, selected print location, and decoration area.
  • If no exact placement is provided, we use standard placement for that garment type and decoration location.
  • Minor differences from the online preview, product mockup, or customer expectation are normal and not refundable when within tolerance.

Color Print colour and feel

  • RGB screen colours, CMYK print colours, white ink layers, fabric colour, fabric texture, heat, pressure, curing, transfer film, and lighting can all affect the final print appearance.
  • Colours on a phone, tablet, or computer monitor will not match physical print output exactly.
  • Up to 10% colour variance between screen preview and physical print is considered normal.
  • Large DTF prints may feel different from small prints and may have a more noticeable surface feel.
  • DTF on cotton, polyester, blends, stretch fabrics, fleece, canvas, bags, and other surfaces may look or feel different.
  • If an exact colour is required, the customer must provide a clear colour reference before production.
  • For colour-critical work, a printed sample is recommended before full production.
Color Print (DTF) orders are not eligible for refund, remake, or return only because the printed colour, print size, print feel, or print location looked different from the online preview, unless the final result is outside our stated tolerances or PrintBarn used the wrong confirmed written instruction.

Low-resolution, pixelated, blurry, or poor-quality artwork will print based on the file supplied by the customer. We cannot refund prints that are blurry or pixelated due to customer-provided files.

Screen print policy

Screen print sizing and placement

  • Screen print sizing tolerance is ±1 inch.
  • Screen print placement tolerance is ±1 inch for chest, front, back, sleeve, and other print locations.
  • When exact size is not requested, designs are scaled to fit the print area, stencil, screen setup, and garment for the best visual result.
  • If no exact placement is provided, prints are positioned using standard print shop practice.
  • Minor differences in perceived size or location compared to mockups are normal when within tolerance.

Screen print colour and production limits

  • Ink colour, mesh, garment colour, ink layers, curing, lighting, and fabric texture can affect final appearance.
  • Colours shown on screen are not exact physical ink matches.
  • Up to 10% colour variance is considered normal and is not a misprint.
  • Full-colour, metallic, neon, reflective, puff, foil, or specialty effects require specific setup and must be confirmed before production.
  • Light press marks, curing marks, or heat boxes that disappear after washing or gentle steaming are not valid reasons for refund.

Special products, surfaces and decoration limitations

Some products and surfaces behave differently during decoration. Decoration results may vary depending on fabric texture, stretch, thickness, coating, seams, pile, panels, pockets, zippers, buttons, hoods, collars, and product construction.

Hats, caps and beanies

  • Cap panels are curved and may make logos appear slightly curved, angled, compressed, or different from a flat mockup.
  • Structured, unstructured, 5-panel, 6-panel, trucker, dad hat, snapback, and beanie styles all decorate differently.
  • Beanie fold height may change how the logo appears when the customer wears or folds the product differently.
  • Caps have technical embroidery height and width limits.

Hoodies, jackets and polos

  • Hoods may cover or visually affect back prints.
  • Kangaroo pockets may limit front decoration space.
  • Zip hoodies can divide or interrupt centre designs.
  • Polo buttons, collars, jacket seams, vest panels, and zippers can affect left chest placement.

Bags, towels, aprons and textured fabrics

  • Towels, blankets, fleece, ribbed fabric, mesh, canvas, waterproof fabric, stretch fabric, and textured surfaces may change the look of embroidery or print.
  • Towel pile or fleece texture can make small details less sharp.
  • Bags and aprons may not lay perfectly flat like t-shirts.
  • Waterproof, coated, or treated surfaces may require special testing and may not be suitable for every decoration method.
If the product surface, fabric type, pocket, zipper, hood, seam, panel, or special material is important to the final result, please contact us before production so we can review the best decoration method and placement.

Bulk orders, samples, reorders and repeat orders

Samples and bulk production

  • We strongly recommend ordering one sample before full runs, especially for critical branding, exact colours, exact sizing, exact placement, or new product styles.
  • Sample cost may be credited or refunded according to the quote or agreement when the customer proceeds with a full production run of the same design.
  • If the customer approves a sample and proceeds with bulk production, small production differences within tolerance are not considered defects.
  • If the customer skips a sample and proceeds directly to bulk production, fit, fabric, colour, decoration feel, and general appearance expectations are the customer’s responsibility unless there is a confirmed PrintBarn error.

Reorders and repeat orders

  • For repeat orders, customers should provide the previous order number, product name, product code, artwork, decoration method, size, placement, and any exact measurements they want repeated.
  • “Same as last time” may not be enough if the previous product, artwork, supplier, stock, decoration method, or order details cannot be confirmed.
  • Supplier batches, dye lots, manufacturer changes, stock availability, and product updates may create slight differences between previous orders and new orders.
  • If an exact repeat is required, the customer must confirm this with PrintBarn before production.
Full-order refunds are not approved only because individual team members, employees, recipients, clients, or third parties changed their mind, selected the wrong size, disliked the fit, disliked the style, or expected a different result after production.

Customer-supplied items

When customers provide their own garments or items for decoration, the customer accepts that each item may react differently to embroidery, heat, pressure, stitching, stabilizer, ink, transfer, hooping, or handling.

  • Customer-supplied items may have unknown fabric content, coatings, previous washing, shrinkage, finishes, stains, hidden defects, seams, panels, or manufacturing issues.
  • Previously worn, washed, treated, coated, waterproofed, altered, or decorated items may not decorate the same as new blank products.
  • PrintBarn may recommend a different decoration method or may decline decoration if the item is unsuitable.
  • Because customer-supplied items cannot always be replaced by PrintBarn, decoration is performed at the customer’s risk unless otherwise agreed in writing.
  • Any pre-existing defect discovered after decoration is not considered a PrintBarn production error.
For rare, expensive, irreplaceable, sentimental, or customer-supplied items, we strongly recommend discussing the risk with us before production. A test or sample may be required.

Production time, delivery, shipping and pickup

Production dates, pickup dates, shipping dates, and delivery dates shown online or discussed generally are estimates unless PrintBarn confirms a specific deadline in writing.

Estimated timelines

  • Online delivery or production dates may be calculated automatically based on order details, estimated production time, selected shipping method, supplier availability, and courier estimates.
  • Estimated dates are not guaranteed event dates or delivery promises unless PrintBarn confirms the deadline in writing.
  • Supplier stock delays, courier delays, weather, address issues, missed delivery attempts, customs, holidays, weekends, and remote-area delivery delays may affect timing.
  • Weekends and holidays may not count as business days for production, supplier shipping, or courier delivery.

Deadline-sensitive orders

  • If you need your order for a specific event, date, trip, meeting, school event, team event, corporate deadline, or gift date, you must tell us before production.
  • Add the required date in the order notes during checkout.
  • Email us immediately after placing the order.
  • Contact us through live chat before production starts.
  • Rush production or express shipping may be available for an additional fee when confirmed by PrintBarn.
Refunds, returns, or cancellations are not approved only because an estimated delivery date was missed, a courier was delayed, pickup was not completed on time by the customer, the customer entered the wrong address, the event was cancelled, or the customer no longer needs the items, unless PrintBarn confirmed a guaranteed deadline in writing and failed to meet that confirmed commitment due to our error.

Changes and cancellations after ordering

Once an order is placed, production steps may begin quickly. This may include product ordering, supplier processing, artwork review, digitizing, file setup, printing, embroidery setup, screen setup, cutting, heat pressing, stitching, packaging, or scheduling.

  • If production has not started, we will do our best to help adjust or cancel the order.
  • Once production begins, cancellation may not be possible.
  • Changes after production starts may require additional fees, new product costs, setup fees, digitizing fees, labour fees, rush fees, or restocking fees.
  • Changes sent by email or live chat are not guaranteed unless PrintBarn confirms they were received and applied before production.
  • Customers should not assume that a change request was applied unless PrintBarn confirms it in writing.
Late changes after production starts may incur fees. Minimum 5 CAD per unit, up to 15% of the product price, may apply depending on the stage of production and product status.

Use, wash and aftercare

Decorated products must be used and cared for according to the product and decoration care instructions. Damage caused after delivery by use, washing, drying, ironing, chemicals, heat, stretching, cutting, alteration, or improper care is not considered a production defect.

  • Items must be reported and returned unworn, unwashed, unaltered, free of stains, free of odours, and in original condition where possible.
  • Do not iron directly over DTF, vinyl, screen print, or heat-applied decoration.
  • High dryer heat, bleach, harsh detergent, chemicals, industrial washing, or incorrect care may damage decorated items.
  • Pulling, cutting, trimming, or picking embroidery threads may damage the embroidery.
  • Items damaged after delivery, after washing, after wearing, after alteration, or after third-party work are not eligible for refund or return unless there is a confirmed production defect.
